Frequently asked questions
- How often do leave balances and pay calendars sync between Xero and Deputy?
Positive leave balances sync automatically once per day. Pay calendars are assigned directly in Xero and are selected at the time of timesheet export.
- Does the integration support Modern Award interpretation in Australia?
Deputy’s Pay Rate Library helps apply configured Award pay rates and supported pay rules to timesheets, including applicable overtime and penalty rates. Approved timesheets can then be exported to Xero for payroll processing.
- Can I export timesheets to Xero for client invoicing instead of payroll?
Yes. Deputy can export approved timesheets to Xero as client invoices or contractor bills, with each Location or Area set as the Xero contact.
- How does Deputy match existing employees when connecting to Xero?
Deputy matches employees by email address, then by first and last name. Make sure these are identical in both systems before your first export.
- What should we do if our Xero connection stops syncing?
Reauthenticate the connection in Deputy under Integrations > Xero using an active Xero Subscriber or Payroll Admin login. Note: Deputy does not send an alert if the integration connection breaks, so check your settings if leave balances appear out of date.
- Can I purchase Deputy directly through my Xero subscription?
Xero Subscribers in Australia can add Deputy to their Xero plan under Subscription and billing and pay for it on their monthly Xero invoice. This option has a single plan tier and connects to one Xero organisation.
- How do Deputy locations and areas map to Xero for job costing?
Deputy maps the Area where a shift was worked directly to your Xero Tracking Category option. Ensure your Deputy Area export code matches the Xero Tracking Category option name exactly.
- Do leave names need to match between Deputy and Xero?
When exporting leave from Deputy to Xero, configure the relevant leave type or mapping code to correspond with the applicable Xero Time Off Type.
- Does Deputy create new pay items in Xero automatically?
If you use Deputy's Pay Rate Library, Deputy creates the matching earnings rate in Xero the first time you export it. Don't rename it in Xero, or Deputy creates a duplicate. For standard hourly rates, create the earnings rates in Xero first.
