The Story
Cash Converters is the world’s largest chain of stores selling second-hand goods, with outlets in 21 countries. In the UK, the company has a network of 200 franchise stores and employs more than 3,000 staff. Shneen Stevenson manages Cash Converters stores in Plymouth and Exeter under the franchise company Aikmo Trading.
"Cash Converters is the world’s largest chain of stores selling second-hand goods, with outlets in 21 countries."
The Challenge
Before Shneen implemented Deputy at her Cash Converters stores she relied on spreadsheets and word memos to manage her staff scheduling:
“We have 19 employees in our stores and rotas had become a nightmare to manage with different shifts. Tracking time and attendance was all done on spreadsheets and communication was all sent to the team via word memos.”
"We have 19 employees in our stores and rotas had become a nightmare to manage with different shifts. Tracking time and attendance was all done on spreadsheets and communication was all sent to the team via word memos."
The Solution
Shneen saw a big reduction in her time spent processing staff payroll once she’d installed Deputy:
“The main benefit for us is payroll as this saves me so much time. I can now print the timesheets and send to payroll, which saves about a day of work and that means I can now concentrate on other areas of the business.”
Staff sickness is now “a lot easier to manage and act on” according to Shneen and timesheets are automatically created when staff start and end shifts:
“Deputy has saved us time by no longer having to fill out excel time sheets as all hours are logged daily.”
Staff at the two stores benefit from “knowing of any changes to the rota as soon as they are done” and having the ability to claim any open shifts created by managers:
“If any shifts need to be filled the team can see these and choose if they want to do the overtime.”
Deputy also reduces time spent communicating rota changes and updates to staff, which is a major benefit for the business explains Shneen:
Our favourite thing about Deputy is when changes are made to the rota the staff are informed about this straight away.
WHAT’S NEXT?
With more time to focus on scaling operations Shneen is looking to extend the benefits of Deputy further:
“Overall we are more than happy with Deputy and the team are happy, which makes our lives a lot easier. We are even looking at introducing Deputy in other businesses that the company owns.”
"The biggest benefit for us is payroll. I can now send timesheets directly from Deputy to payroll, which saves about a day of work."
